In this role, you'll:
Be responsible for supporting the planning, coordination and successful implementation of learning programs across Transport. This is a high‑touch, coordination‑heavy role supporting both accredited and non‑accredited learning programs, including leadership courses and Transport‑wide learning initiatives.
Working collaboratively with senior colleagues, you’ll help identify and implement improvements to learning services, ensuring high‑quality learner experiences that meet compliance, operational and financial requirements.
Key responsibilities include:
- Plan and implement learning programs by sourcing and booking training rooms, venues and other program resources, including management of room availability and confirmations
- Coordinate internal and external training delivery, working closely with external providers and agencies across multiple programs
- Manage a high volume of tickets and learner enquiries, providing accurate, timely and customer‑focused responses
- Support learners with enrolments, registrations, and program queries, ensuring awareness of responsibilities under relevant state and federal guidelines
- Maintain and monitor the learning master schedule, including updates, stakeholder sign‑offs and regular status reporting
- Manage course logistics and courseware, including tracking and coordinating delivery of training materials
- Perform data inputting and records management, ensuring learning data remains accurate and up to date across systems
- Use multiple systems (including SAP SuccessFactors, ServiceNow and TimeEdit) to process learning transactions and maintain training records
- Support training invoicing, procurement, and contract processes, ensuring accuracy and compliance with financial and organisational requirements
- Assist with contract management, procurement coordination and supplier interactions related to training delivery
- Participate in regular quality and compliance assessments and contribute to a collaborative, improvement‑focused team environment

About you
To be successful in this role, you will bring a strong coordination mindset with the ability to manage competing priorities across people, systems and processes.
You will also demonstrate:
- Experience working in a customer‑centric environment such as a contact centre, shared service or corporate service team
- Proven experience coordinating learning, training or service delivery with multiple stakeholders and external providers
- Background or exposure to finance, procurement, contracts and invoicing processes (highly desirable)
- Experience using SAP systems, particularly SAP SuccessFactors, is strongly regarded
- Confidence working across multiple enterprise systems, including ServiceNow and scheduling tools such as TimeEdit
- The ability to understand and explain complex learning programs and resolve learner queries effectively
- Applied understanding of adult learning principles
- Excellent communication, coordination and problem‑solving skills, with strong attention to detail
- Sound knowledge and understanding of the Outcome Standards for NVR RTOs 2025
